1. Purchase Orders. You will be able to not
only poll for low inventory based on your set minimum quantity levels, but
also create purchase orders to various suppliers allowing entry of the prices they
quoted you. When you receive the merchandise, if the price has been increased, a
warning is displayed giving you the opportunity to automatically adjust the
retail price to reflect this price increase and retaining your markup
percentage. Past records of product purchases will also be recorded.
2. Commissions.
ClientMagic Pro computes commissions for services and/or products. With our
exclusive "Dynamic Commissions" you may also set dollar quotas, that when
achieved, will increase commission percentages. We also have easy to understand
reports to back the data up for no hassle reconciliation.
3. Tips. Personnel / Operators can be marked as tip recipients and commissioned
operators. When an invoice is closed with this operator and designation, the tip
entered will be recorded to this operators account.
4. Re-Occurring Billing.
For those of you that bill for chairs, or space rent monthly, we will support
automatic billing. After you run our monthly statements, our software will look
at each operator or provider account and if you have checked re-occurring
billing, we will create a new invoice for this person and add the liability to
their account. (Similar process to what we do with automatic service charge
billing)
5. Pre-paid Invoices.
You will be able to choose an invoice as Pre-Paid and report the funds collected in the day they are collected. Then as the services
or items are used you can report the sale. Excellent for Spas with prepaid tanning packages or layaways. Each item can be individual chosen for the day it is used and will be marked as taken.
6. Import and Export. You will be able to export and import your total client list, invoices, invoice detail and inventory items. This will give you the capability to import marketing lists and then use ClientMagic to print labels, run email campaigns and more. You may export to Excel spread sheet files for use in accounting programs and for business management analysis.
7. Client Relations Management (CRM).
You will be able to bring up a sorted list of client to contact by phone as set in the client recall lists. You may double
click on a client, then add notes concerning your conversation, create invoices,
and when finished, create another recall, automatically deleting the old one.
8. Queries and Reports. You will be able to create custom reports based on tables and field relationships and even relate multiple tables. Boolean operators (=,<> =<, =>, >, <, and, or) can be used to query for specific data. (If you wish a report on all clients who are over 35 and under 50 that have not <> purchased service 1001 "Massage", you could do this and create a special letter for them soliciting this service.
9. Barcode label Printing. By setting a picture, description of the product in the
notes field, you can create one or more barcode labels for products. After
setting up the text of what you wish printed on the label about the product and
a optional picture, go to File/Printer Setup Barcode labels. Measure the labels
and setup the corresponding size in the setup. To print the Labels, go to
Reports/Inventory Services/Inventory then Barcode labels. Choose the label
number you wish to print and click ok to print one or more labels for this product.
10. Appointment Reasons. You will be able to link the time required for a reason to the operator. When making an appointment for this
reason the time of the appointment will be changes to this time. This will make
easy work out of making appointments for operators where different times exist.
You will have a choice of operators and time to do the Job. This change also means that only the reason for the chosen operator will show up in the Reasons when you open an appointment. If you do not associate any time with a reason then all will see it, if you do then only the operator assigned to it will see
the time.
11. Appointment / Client Notes. ClientMagic has the ability to store information on the client
card so you can easily see in your appointment what the color mix was, or the massage therapy required. Notes entered in the Appointment can now be moved to the client card for easy reference and retrieval. There is a check box on the bottom of the client card, that when checked will automatically copy the formula
or notes to the client card when a new appointment is created.
12. Multiple Operator Credit Card Processing. Each of your operators can now have their own credit card account. When an invoice is created with them as a provider and closed, a simple swipe of the credit card will credit their personal credit card account at our Credit Card Processing Company Xcharge.
13. Gift cards, Rewards cards and Certificate Processing. Built into ClientMagic, no third party vendor required, print your own gift certificates
and give clients rewards points as an incentive to purchase from your shop. This
is a big profit maker for your business, typically, 10 to 25% of the Gift and
Rewards are never redeemed, this can amount to over $1,000 per year in the average business.
14. Multiple Appointments (same Client, same Day). This nifty feature allows bundling appointment reasons together. Example: Client is coming in for Tint, Pedicure, Facial and Zit eradication. First you assign the time required to each reason, Tint = 90 minutes, Pedicure = 30, Facial = 60, Zit eradication = 60. Then you create a new bundle called B-Tint,Pedicure,Facial,Zit. In this reason you will see a bundle tab, click this and choose the 4 reasons for this service. When this reason service is chosen, all 4 appointments will appear.
15. Appointment Reason linking. You can associate a procedure code with an Appointment Reason, then when the client is checked in for this reason an invoice will be created and put on hold. When the client leaves, there will be a check-out button on the appointment card, when clicked will reveal the charge(s).
16. Client Notes Pick List and Read Only Save.
You can now pre-format client notes. This feature cuts typing in ½ or less, just click and choose. When client notes are saved, they become a Permanente
record read only. This will prevent changes to historical records.
17. Outlook / PDA Cell phone Integration. You will be able to copy all appointments for a chosen operator to Microsoft Outlook and then to a Cell phone through active sync. You can do the reverse, copy back to Outlook and back to ClientMagic. Handy for those on the go who wish appointments on their cell phone.
18. Family members. This addition to the client card allows the addition of a family member. Pictures can be taken and stored and comments about this member entered. You can also quickly run reports on Family Member Purchases. Excellent feature for Barber shops, Salons and other businesses where family members visit. Use in combination with our rechargeable gift cards to prevent accidental spending of the money given to
kids for haircuts and other purchases.
19. Treatment Picture
templates. You can now store as many pictures as desired of a client and mark the pictures with the included highlighter. You can also import templates
to the client profile as stick figures. This will allow massage or physical therapists or medical providers to identify problem areas on the clients torso with colored marks. They can also make notes in the text box below referencing these "problem areas"
20. Online Appointment Booking. Your clients can now make appointments with you by going to your website or our website, entering in a date or date range and time or time range they wish an appointment for, search for available appointments in your ClientMagic Database and Make an appointment. You may also check your appointment scheduler for the day.
Some of the future upgrades planned are Personnel fingerprint recognition (no more passwords needed for secure login or clock in), employee scheduling, fingerprint storage for credit cards (no more client signatures required), Accounts Payable general ledger
direct write support, timed line item billing and more.
